How we work

From AI-aware to AI-native

We map how your business runs today, design how each process is rebuilt around AI agents, then build it and run it with your people approving every call.

Network rules· Human gate

  • Drafts never auto-send
  • Money never auto-moves
  • Every AI output passes a human gate
  • Agents see only the data they need

The engagement

Five phases. One line.

Every engagement runs the same five phases, fitted to your processes, your systems and the people who make the calls.

See the business as it really runs

We sit with your leaders and process owners and map how work actually moves today.

What we do

  1. We interview your leaders and the people who do the work, not just the org chart.
  2. We trace each process end to end: where requests arrive, who touches them, which systems they cross.
  3. Every workaround, re-key and email chase goes on the map.

In practiceAt an allied health group, that means following one referral from the inbox to the first appointment.

Assess

You are here: AI-assisted

Score what an agent could own

We measure each process: hours spent, errors, systems touched, and what an agent could own.

What we do

  1. We measure each process: hours spent, errors, rework and the systems it touches.
  2. Every process gets a score for value, feasibility and risk.
  3. We flag the ones that must stay human, and say why.

In practiceAt an accounting firm, client onboarding and debtor chasing usually score near the top.

We score risk next to value. Anything that touches money, client records or regulated data gets a human gate from the start.

Phase 03. Part of The Transformation Blueprint

Blueprint

You are here: AI-ready

Leadership picks. We draw the rebuild.

Leadership picks the processes to change. We design how each one is rebuilt around AI, with the human gates marked.

What we do

  1. Leadership chooses which processes go first.
  2. For each one we design the new flow: what the agent does, what data it reads, and where a person approves.
  3. You get the order of work, the systems involved and the guardrails in one document.

In practiceAt a builder, the blueprint might rebuild quote follow-up and variations, with the estimator approving every price.

Phase 04. Delivery

Build

You are here: AI-powered

Agents built, connected and fenced in

We build the agents and connect them to your systems, with only the data access each one needs.

What we do

  1. We build each agent and connect it to the systems you already run. No rip and replace.
  2. Each agent gets least-privilege access: it reads what it needs and nothing else.
  3. Your process owners test it on real work before it goes live.

In practiceAt a law firm, an agent files inbound email to the right matter. It never touches the trust account.

Phase 05. Delivery

Run

You are here: AI-native

Agents do the work. Your people make the calls.

Agents execute, your people approve, and we monitor, tune and extend the operation.

What we do

  1. Agents work the queue and stop at every gate.
  2. We monitor accuracy, cost and exceptions, and tune each agent as new edge cases appear.
  3. Then the next process on the blueprint goes live.

In practiceAt a property manager, tenant enquiries are drafted and queued. A property manager sends each one.

Principles

Four rules we never break

These hold in every process, in every sector, from the first agent to the fiftieth.

  1. R-01

    Drafts never auto-send

Agents write the email, the quote, the report. A person reads it and presses send.

  2. R-02

    Money never auto-moves

Agents prepare invoices and payment runs. Only a named approver can release money.

  3. R-03

Every AI output passes a human gate

Every process has a named approver, drawn on the blueprint. Every approval, edit and rejection is logged.

  4. R-04

Agents see only the data they need

Access is set per agent and read-only wherever possible. The agent that drafts quotes cannot open payroll.

Questions

Asked by COOs and CFOs

Do we have to replace our systems?

No. Agents work across the systems you already run: your CRM, accounting, practice or job management software, inbox and shared drives. If a system has no usable connection, we tell you in Assess, before anything is built.

Where do people stay in control?

At the gates. Every process on the blueprint has marked points where a person approves, edits or rejects the agent's work. Drafts never auto-send and money never auto-moves.

What data do the agents see?

Only what each one needs. Access is set per agent, read-only wherever possible, and written into the blueprint. Your data stays in your systems, and we use AI providers that do not train on it.

Which processes come first?

The ones that score highest in Assess on value, feasibility and risk. Usually high-volume admin that crosses systems, such as client onboarding, invoice approval, quote follow-up or document intake. Leadership makes the final call in Blueprint.

What do you need from our team?

A sponsor in leadership, time with your process owners during Discover, a systems owner for access, and approvers who test each agent on real work before it goes live. We do the building.

Does this only suit certain industries?

No. The same five phases work for accounting and legal firms, allied health and NDIS providers, builders and trades, property managers, financial advisers and distributors. The processes differ. The method, and the human gates, stay the same.
